Connect your quote-request mailbox to QuoteGate AI
Instructions for your IT administrator · 10–15 minutes
QuoteGate AI answers price requests from your customers and their purchasing bots. To do that it needs a copy of the emails that arrive at your quote-request mailbox. You add one forwarding rule. The original email still reaches your team as before.
Your forwarding address
rfq-<company>@in.quotegateai.com
Forward copies from your quote-request mailbox (for example rfq@yourcompany.com) to this address. Use a mailbox that receives only quote requests, not a general sales or info mailbox.
What we need and what we don't
- One rule that sends a copy of incoming mail for one mailbox to the address above.
- We never need your passwords, admin access or access to any other mailbox.
- You can switch it off at any time by deleting the rule.
Google Workspace (Gmail)
- Sign in to the Admin console at
admin.google.comas an administrator. - Go to Apps → Google Workspace → Gmail → Routing.
- Next to Routing, click Configure (or Add another rule). Name it

- Under For the above types of messages, do the following, choose Modify message. Under Also deliver to, tick Add more recipients → Add → enter
rfq-<company>@in.quotegateai.com→ Save. - Under Options, choose Only affect specific envelope recipients → Single recipient →

No admin access? Forward from the mailbox itself
- Gmail: Settings → See all settings → Forwarding and POP/IMAP → Add a forwarding address →
rfq-<company>@in.quotegateai.com. Gmail sends a confirmation code to that address; your QuoteGate account manager will send it to you. Then choose Keep Gmail's copy in the Inbox. - Outlook on the web: Settings → Mail → Forwarding → Enable forwarding →
rfq-<company>@in.quotegateai.com→ tick Keep a copy of forwarded messages. - The admin-level rule above is more reliable; use this only if you can't set one up.
Check that it works
- From a personal address, send an email to
rfq@yourcompany.com, for example: “Need 50 pcs of <a part number from your price list>, best price?” - A reply with a quote should arrive within a minute.
- Tell your QuoteGate account manager the rule is in place. They will confirm on their side.
Later, optional: replies from your own address
So that answers come from your domain rather than ours, we will send two or three DNS records (DKIM and SPF) to add to your domain. Until then, replies go out under your company name with Reply-To set to your mailbox.
Privacy and security
- Only copies of mail sent to the one mailbox you choose reach us.
- Data is stored in the EU (Frankfurt). Every action is logged.
- Delete the rule and nothing more reaches us. We delete your data on request.
